Trial follow-up tasks

Each trial type has its own Freshsales customer journey. A journey sends the prospect a series of trial emails and creates tasks for the salesperson at fixed points. This page lists the journeys, the segments that start them, every task they create, and where to find those tasks.

The journeys

There are three active trial journeys, one for each kind of trial:

  • New Food Labeling Free Trial Sign Up (journey 60551) handles every online trial. Its segment is new Food Labeling Trial Sign Up Page (68117).
  • Diet Analysis Free Trial Sign Up (journey 60352) handles desktop Diet Analysis trials. Its segment is Diet Analysis Free Trial Sign Up Page (67441).
  • Menu Creation Free Trial Sign Up Page (journey 60568) handles desktop Menu Creation trials. Its segment has the same name (67753).

To open a journey, go to https://axxyasystemsllc.myfreshworks.com/crm/marketer/mas/#/workflow/<journey id>/configure. A segment is at https://axxyasystemsllc.myfreshworks.com/crm/marketer/mas/#/segments/<segment id>/edit.

Each journey starts with an Added to segment trigger. In Journey settings, Allow the same contact to enter this journey multiple times is off, so a contact goes through each journey only once. The other journeys in the list, such as Food Labeling Free Trial Sign Up B and Call Booking Reminder [Scenario 3], are stopped or drafts and aren't used.

The segments

Each segment has exactly one condition group, and the group is set to All:

  • Food Labeling: Trial Type Is online and Created at After Sep 4, 2026.
  • Diet Analysis: Trial Type Is desktop and Trial Online Product Is Diet Analysis.
  • Menu Creation: Trial Type Is desktop and Trial Online Product Is Menu Creation.

Keep these rules in mind when you edit a segment:

  • Don't add a new group beside an old one. If the segment's top-level toggle is All of the groups, a contact has to match every group, and the segment can end up matching nobody.
  • Keep the Created at date on the Food Labeling segment. About 459 older contacts were given Trial Type online by a backfill in July 2026. Without the date guard, a later update to any of them would start the journey and send a trial email to a long-lapsed prospect.
  • Keep the desktop groups on All. On Any, Trial Online Product Is Diet Analysis alone would also match online trials that picked Diet Analysis.

The tasks each journey creates

All three journeys create the same tasks, at the same points. Every task is assigned to Roosh Dollie (sa1@axxya.com), and each one is due on the day it's created. The day numbers count from the day the contact entered the journey, which is the day of the sign-up:

  • New trial sign-up, day 0, for every contact that enters the journey. The titles are New trial sign-up: Online modules in the Food Labeling journey, which handles every online trial whatever module was picked, New trial sign-up: Diet Analysis (desktop), and New trial sign-up: Menu Creation (desktop).
  • Lead Email Bounced Back (Food Labeling Lead Email Bounced Back in the Diet Analysis journey), day 0, only when the first trial email bounces. The journey also sends an internal Email Bounced notification.
  • No engagement, day 4, only for contacts who opened none of the first four trial emails. Contacts who opened any of them don't get this task.
  • Make Final Phone call for lead, day 18 or 19, for every contact whose lifecycle stage isn't Customer by then. The journey checks the lifecycle stage at several points and ends early for a contact who has become a customer.

Before September 2026 the journeys didn't have the day-0 task. The first task the sales team saw for most trials was Make Final Phone call for lead, about 18 days after sign-up.

Add the day-0 task to a journey

If you rebuild a journey or add a new one, give it a day-0 task. Do these steps for each journey:

  1. Open the journey and click the Build tab. If the canvas is read-only because the journey is active, click the edit button at the upper right.

  2. Use the full-screen button and scroll the canvas to the left until you can see the green Added to segment trigger and the first Send email node.

  3. Under ACTIONS in the left-hand palette, drag Add Task onto an empty part of the canvas near the trigger.

  4. Connect the trigger's output to the new Add Task node, so the trigger feeds both the first email and the task. If the trigger won't accept a second connection, connect the task to both the ON SENT and ON BOUNCE outputs of the first email instead.

  5. Click the Add Task node and set the title to New trial sign-up: <module> (desktop) for a desktop journey, or New trial sign-up: Online modules for the online journey. Set the task type to Leads, the owner to Roosh Dollie, and the due date to relative, Today, 12:00 AM. For the description, copy the contact placeholders from the No engagement task and add a line that names the trial. For example:

    {{contact::first_name}}
    {{contact::last_name}}
    {{contact::email}}

    This is a Menu Creation (desktop) free trial lead from sign up.
  6. Before you publish, read Publishing enrolls waiting contacts. Then save the node and publish the journey. The journey header shows Active. If it doesn't, click Publish again.

Contacts who are already partway through the journey don't get the new task. They're past the trigger, and a contact goes through the journey only once.

Publishing enrolls waiting contacts

The Added to segment trigger has the option to include the contacts already in the segment turned on. When you publish an edited journey, Freshsales enrolls every contact that's in the segment but has never entered the journey. Each one gets the first trial email and the day-0 task right away. Contacts who already went through the journey aren't affected, because re-entry is off.

This happened when the day-0 task was added to the Menu Creation journey on September 25, 2026. A desktop lead from September 14, which had matched the segment without ever entering, entered the journey the second the journey was published. Before you publish a journey, decide whether the waiting contacts should get the welcome email and a task now:

  • If they should, publish as normal. Tell the sales team to expect a batch of New trial sign-up tasks for older sign-ups.
  • If they shouldn't, open the trigger and turn off the option to include current contacts before you publish. Leave the option for future contacts on.

Once the option for current contacts is off, leave it off. It only matters when the journey is published, and new sign-ups enter through the option for future contacts. As of September 25, 2026 it's off on the Food Labeling and Diet Analysis journeys and still on for Menu Creation. Turn it off on Menu Creation the next time you edit that journey.

Where to see the tasks

The tasks appear on the task owner's Activities Dashboard at https://axxyasystemsllc.myfreshworks.com/crm/sales/my_dashboards?tab=activities. There are three things to know about this dashboard:

  • It shows only the tasks of the person who is signed in. Journey tasks belong to Roosh Dollie, so anyone else signed in to Freshsales sees none of them there.
  • The Due date filter defaults to Today. A task from an earlier day shows under Overdue, or when you widen the due date range.
  • A task is created at the same time of day that the contact signed up. A task that's due today can appear on the dashboard later in the day.

The All tasks and meetings link on the dashboard opens My Meetings & Tasks (/crm/sales/calendar/tasks). That page also lists only your own tasks, and it has no owner filter. There are two ways to see the tasks of other users:

  • Open the contact and look at its tasks and activity timeline. This works for one prospect at a time.
  • Build a report in Analytics (the chart icon in the left sidebar > Analytics). Click New Report, drag a Chart widget onto the page, and choose the Tasks metric. Click filter under the metric and limit it to open tasks, then group it by owner. Save the report so the sales team can reuse it. Analytics reports cover the tasks of every user.

The Freshsales API endpoint GET /api/tasks lists only the API key owner's tasks. It returns nothing for the sales team's tasks, so don't use it to count journey tasks. See Troubleshooting trial tasks.
